About this role

Job Purpose

We are seeking a dedicated and detail-oriented Administrative Assistant to support the Customer Service & Logistics team. This role involves managing shipping documents, coordinating export certifications, handling samples, and providing essential office administrative support, including answering calls, attending to visitors, and replenishing supplies. The ideal candidate will help streamline operations in a fast-paced environment.

Responsibilities

Administrative Support:

  • Answer phone calls promptly and professionally, directing them to the appropriate team members.
  • Attend to visitors by responding to doorbells and guiding them to the relevant personnel.
  • Manage and replenish pantry supplies and office stationery to ensure smooth operations.

Shipping Documentation:

  • Prepare and manage accurate shipping documents, including invoices, packing lists, and bills of lading.
  • Ensure compliance with local and international regulations for documentation.

Export Certifications & Applications:

  • Apply for necessary export certifications, such as SFA Food Export Certificates and Veterinary Health Certificates.
  • Maintain accurate records and track certification timelines.

Sample Coordination:

  • Manage the preparation, packaging, and dispatch of product samples to customers.
  • Track and report sample deliveries to relevant teams.

Cross-Functional Assistance:

Collaborate with other departments to provide support based on workload and priority needs.

About You

  • Diploma or Certification in Business Administration, Logistics, or a related field (or equivalent experience).
  • 1-2 years of administrative experience, preferably in logistics or supply chain.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Strong attention to detail and organizational skills.
  • Excellent communication and customer service skills.
  • Ability to manage multiple tasks efficiently in a dynamic environment.
  • Familiarity with shipping documentation and export processes is an advantage.
  • Live in Singapore.
